EXECUTIVE ASSISTANT (PART-TIME) (M/F)
DO Recruitment Advisors are recruiting an Executive Assistant on behalf of our client, a European Construction Group. The role will initially be part-time and depending on the individual, the role can develop into a full-time position over time or not, there is flexibility on this point. We are looking for a dynamic, driven, and hands-on person, who will take initiative and responsibility for a whole range of administrative duties. The person will be key in helping support the business Development Director grow and expand the business across Europe. The candidate will be involved in assisting in a wide range of areas covering administration, operations, and financial aspects. The role will be based in Luxembourg with close communication to the team based in Paris, as well as other European entities. The person will initially be working from home due to the current pandemic.
THE JOB:
·Travel - arranging flights, trains and booking accommodation;
·HR - ensuring all criteria is set up for new starters and information is kept up to date;
·General administrative tasks, including managing the day to day running of the business;
·Maintaining documentation for our ISO Accreditation;
·Managing the organisation of general invoicing;
·Liaising with external accountants in order to provide them with client and supplier invoices, as well as, information on our project finances;
·Assisting the development director in generating presentations and reports, as well as, in marketing and development initiatives and the documentation for these activities.
THE CANDIDATE PROFILE:
·At least 2-5 years of experience in a similar role;
·Good knowledge of Microsoft Office (especially in PowerPoint and Excel);
·Fluency in English is mandatory, with knowledge of German and/or French being an asset;
·Excellent interpersonal and communication skills;
·Positive, can-do attitude;
·Discreet and sensitive to handling confidential information;
·Hands-on, independent and proactive mentality;
·Ability to use own initiative, innovative and forward-thinking.
THE CLIENT:
Our client is a European Construction group, setting up an entity in Luxembourg.
At the final stages of the recruitment process, the successful candidate can be asked to provide supporting documentation such as, for example, copies of diplomas or proof of previous jobs, and a standard criminal record check might also be requested.
